Volunteer Applications

The Kittitas County Fair Board is appointed by the Board of Kittitas County Commissioners and is tasked with organizing the annual County Fair and is entrusted and charged with working alongside the KVEC Director who oversee the business management and financial affairs of the County Fair and year-round operations of the Kittitas Valley Event Center.

The Kittitas County Fair Board’s mission is to showcase our community through a fair that honors our agricultural roots and cultural heritage. With integrity and collaboration, we create experiences that educate, enrich, and build a lasting legacy for all.

Serving as a Board Director of the Kittitas County Fair Board involves a very special commitment. To meet that commitment, Board Directors will fulfill the following responsibilities:

Meeting Attendance: It shall be the duty of each Director to be present at all regular meetings of the Fair Board to ensure that their area of responsibility is represented. Directors must be physically present at the meeting to be counted in attendance. Any Director who misses five (5) regularly scheduled Fair Board meetings in a calendar year, except in the case of illness or other valid reason, shall be recommended for removal.

Expectations: Each Director is expected to carry out their Fair Board duties in a courteous and professional manner applicable County policies and procedures. Director responsibilities include attending the Fair, the Kick-Off Breakfast, the Fair Board Retreat, and participating in the Fair set-up and closing Some Director positions require attendance at other supporting Fair events such as: pre-shows; Jr. Horse Fair; and work parties. It is strongly encouraged that other Directors attend these supporting events to show support and assist where needed.


A Fair Board Director is assigned a department or division of the Fair and shall be responsible for the proper management of their department and work with the Event Center Director to execute necessary purchases, contracts, operational plans, and staff assistance.

Become a Fair Superintendent

Individuals interested in becoming a Kittitas County Fair Superintendent must complete an application for consideration and approval by the Fair Board. Once completed, applications should be submitted to the Roylene Crawford, Fair Board Superintendent Director, or dropped off at the Fair Office for processing. Download the application below:
Overview of Superintendent Duties:
  • Assist the Board Director responsible for the department in completing assigned tasks to ensure smooth operations.
  • Review the department’s section of the Exhibitor Book, if applicable, along with the general section before the Fair. Maintain awareness of the schedule, location, and other department-specific details.
  • Take notes on potential improvements for the department or Exhibitor Guidebook. Submit a written copy of the suggested changes to the Board Director immediately after the Fair for review and presentation at the annual Fair review meeting.
  • Submit the supply list form to the Fair Office as soon as possible to ensure the correct supplies are provided (e.g., score sheets, ribbons, cleaning supplies, office supplies).
  • Organize the department’s team and ensure volunteers are signed up. Complete the "Superintendent Volunteers Information" sheet and submit it to the Fair Office well in advance so that volunteers can receive their passes before the Fair begins. Volunteers must commit to a minimum four (4)-hour shift to receive a day pass.
  • Prepare the department or exhibit area. Requests for repairs or project needs must be made well in advance. Barn setup takes place in August, and active participation from Superintendents is essential.
  • Any additional work required for a building or barn must be requested in advance through the Board Director. This includes signage requests. Maintenance or office staff should not be asked to interrupt their ongoing projects for immediate requests.
  • Follow the "Instructions for Receiving Entries" when accepting exhibits from the public, ensuring they are correctly placed in their respective categories. Verify the Department, Division, and Class, and ensure that all tags are securely attached.
  • Issue and sign exhibitor bracelet vouchers for individuals who provide proof of entry form purchase.
  • Arrange and display exhibits, including educational displays, while decorating the surrounding area. Each Division area should include an educational display.
  • Familiarize oneself with the "Judging and Clerking" guidelines. Superintendents are responsible for overseeing the judging process. Check-in and judging sheets will be provided by the Fair Office.
  • Upon completion of judging, return all Judging Books to the Board Director or designated assistant. Judging books must remain on the fairgrounds at all times.
  • Maintain cleanliness and organization of displays and surrounding areas throughout the duration of the Fair.
  • Oversee the exhibit check-out process on Monday from 6-8 PM, ensuring that exhibitors retrieve their exhibits. Contact the Board Director for further instructions if any exhibits remain unclaimed.
  • Ensure that all assigned areas are cleared and free of unclaimed exhibits at the conclusion of the Fair.
